Project Coordinator for XM and Events

TRIBU crew is looking for a Project Coordinator to complete its production team. For the past 10 years, we have been creating innovative marketing experiences, producing high-impact events, and aligning brands with youth. The Project Coordinator for XM and Events is a highly organized and motivated individual who ensures projects happen in an ever-evolving industry. This person provides continuous support to the production team throughout the projects. They play a crucial role in the success of projects by being involved in various aspects of logistical and resource management (volunteers, field team, etc.).


  • Participate in developing the project timeline and ensure follow-up on tasks.
  • Assist in the search for service providers for the successful execution of projects.
  • Manage event production schedules.
  • Monitor the budget in collaboration with the production team and accounting.
  • Handle the technical aspects of productions and allocate necessary material resources.
  • Ensure proper organization of the Tribu warehouse and update inventories.
  • Manage the entry and exit of equipment and prepare them accordingly.
  • Oversee event reports and provide weekly progress updates to Project Owners.
  • Recruit, train, and manage various ambassadors for the projects.
  • Perform any other tasks related to the production of brand activations and events.


  • A minimum of 2 years of experience in a similar position.
  • A valid driver’s license.
  • Comfort driving trailers/cube trucks.
  • A valid passport for potential international work.
  • Proficiency in Google Office and Microsoft Office software.
  • Good stress management and prioritization skills.
  • Knowledge of HARVEST, HUBSPOT, and/or MONDAY platforms is a plus.
  • A machinery license (forklift, heavy machinery) is an asset.
  • Experience as a promotional agent is a valuable asset.


  • Knowledge of the event industry, experiential marketing, and sponsorship activation.
  • Ability to manage multiple projects simultaneously within tight deadlines.
  • Strong leadership, autonomy, and resourcefulness.
  • Structure, organization, and initiative.
  • Ability to meet and exceed set objectives.
  • Flexibility for non-traditional hours (irregular schedules, evening shifts, weekends depending on projects).
  • Proficiency in French and English, both spoken and written.


  • Hybrid mode (2 days of remote work) with the possibility of 1 month as a digital nomad.
  • Provided cellphone / monthly fee covered up to $75/month.
  • Private insurance after probation.

  • Administrative office in a co-sharing space on the Plateau Mont-Royal.
  • Temporary contract with possibility of extension.
