Administrative Technician
TRIBU was born in 2010 from a backyard snowboard jam at our founder’s place. Fifteen years later, we produce world-class events like APIK and JACKALOPE in several North American cities—and we’re aiming to take them global!
TRIBU is looking for an Administrative Technician to join our team. Reporting to the Administrative Director, you will provide essential support in human resources, legal affairs, and the production of administrative, corporate, and financial documents, as well as day-to-day operations. You will also occasionally assist the founder and CEO, as well as Project Managers with administrative needs during event production.
Status: Permanent position with a 3-month probationary period.
👉 Your responsibilities include:
Human Resources
- Draft job descriptions and post openings.
- Manage incoming applications and conduct occasional screening calls.
- Manage internship requests and related grants.
- Survey the internal team to gauge employee satisfaction.
- Contribute to the internal HR newsletter.
- Help update HR policies and prepare HR presentations or “Lunch & Learn” sessions.
- Assist the Health and Safety Committee with their initiatives.
- Organize internal events: Town Halls, retreats, team-building activities, etc.
Legal Affairs
- Draft letters and notices (French and English) based on templates provided by legal counsel.
- Prepare contract templates according to specific instructions.
- Maintain insurance certificates and liaise with insurers regarding specific inquiries.
Production
- Draft letters and complete forms (French and English) required by host cities or partners.
- Book flights and hotel accommodations for partners, subcontractors, guest athletes, or team members.
General Operations & Financial Management
- Compile operational statistics.
- Follow up on overdue accounts (AR).
- Assist our consultant with grant application preparation.
- Provide accounting documents to our external firm.
- Assist the Accounting Technician as needed (e.g., year-end tax forms).
- Support the Administrative Director with any other relevant tasks.
WE ARE LOOKING FOR SOMEONE WHO BRINGS:
- Education & Experience: A college diploma (DEC in Administration/Management Techniques or DEC in Legal Techniques) OR an AEC in HR Management with administrative experience OR several years of solid experience in administrative support, recruitment, and financial management.
- Skills: High attention to detail and the ability to multitask. Flawless writing skills. A strong sense of initiative, resourcefulness, and creativity.
- Field Availability: Available 3 to 4 times a year to work on-site during our main festivals (on weekends), specifically to manage point-of-sale (POS) at our booths and provide customer service in the VIP section.
- Languages: Bilingualism (Functional English and Professional French) due to frequent contact with collaborators across North America.
- Tech Stack: Proficiency in QuickBooks. Knowledge of G Suite, Harvest, and Monday.com is a major asset.
- Passion: An interest in event production and action sports is a plus!
