Logistics and Programming Coordinator

Employer: Tribu Expérientiel inc.
Location: Montréal, QC (3 days onsite, 2 days remote)

OVERVIEW

The Logistics & Programming Coordinator plays a central role in the design, preparation, and execution of TRIBU’s festivals and experiences, including APIK, Barbegazi, and JACKALOPE. Acting as a true operational conductor, this role oversees the complete logistics for athletes and programming staff, as well as on-site schedules and the production of essential operational and informational documents to ensure the smooth delivery of events.

This position sits at the intersection of two worlds:

  • 50% cultural expertise and credibility in action sports (skateboarding, snowboarding, skiing, BMX, etc.), enabling respectful and confident interaction with high-level athletes, judges, and MCs.
  • 50% logistical and editorial coordination, including travel planning, schedule management, and the production of key documents (athlete guides, MC cue sheets, transport schedules, on-site ROS, follow-up documents, post-mortems, and more).

The position is involved before, during, and after festivals to ensure seamless, professional execution aligned with TRIBU’s DNA.

KEY RESPONSIBILITIES

1. Athlete & Programming Staff Logistics Coordination

  • Plan, book, and track flights, ground transportation, shuttles, and vehicles for athletes, judges, MCs, and programming staff.
  • Manage accommodation arrangements (hotel selection, rooming lists, check-in/check-out, special requests).
  • Create and maintain detailed schedules for athletes and contributors (competitions, training sessions, media obligations, partner activations, VIP events).
  • Draft, update, and distribute all logistical documents, including:
    • Athlete guides
    • Travel itineraries
    • Invitation letters
    • Shuttle schedules
    • Insurance documents and accreditations

2. Programming & Event Production

  • Work closely with the Programming Manager to structure on-site and off-site sports and experiential programming.
  • Contribute to ideation and execution of formats rooted in action sports culture (best tricks, demos, game of S.K.A.T.E., cash for tricks, jams, Q&As, workshops, etc.).
  • Build precise and realistic schedules aligned with sporting, technical, and media requirements.
  • Support the coordination of VIP, community, and partner experiences.

3. On-Site Coordination, Officials & Operational Communications

  • Act as the primary point of contact between judges, MCs, technical teams, competition management, and production.
  • Prepare and lead briefings and debriefings (judges, MCs, on-site staff).
  • Draft and distribute essential competition documents, including:
    • MC cue sheets
    • On-site logistical Run of Show (ROS)
    • Competition guides
  • Compile and share official results with internal teams (marketing, digital, media).

4. Event Follow-Up & Action Sports Culture

  • Provide on-site operational follow-up to anticipate and quickly resolve logistical challenges.
  • Maintain active monitoring of trends, events, innovative formats, and emerging talent in action sports.
  • Contribute to continuous improvement of logistical and programming processes.
  • Document key moments to support post-event communications teams.

IDEAL CANDIDATE PROFILE

Essentials

  • Able to land a kickflip 🙂
  • 1–3 years of experience in logistics coordination, programming, or event management.
  • Deep passion for and strong knowledge of skateboarding, snowboarding, skiing, and action sports culture.
  • Ability to communicate confidently and credibly with high-level athletes and stakeholders.
  • Strong organizational skills and ability to manage multiple priorities simultaneously.
  • Proven ability to draft operational documents (schedules, guides, cue sheets, ROS).
  • Experience managing travel, transportation, and accommodation for groups.
  • Bilingual in French and English (third language is an asset).
  • Experience managing vendors and negotiating transportation and accommodation services.
  • Availability for frequent travel and flexible schedules during festival periods.

SUPERPOWERS (STRONG ASSETS)

  • Calm and efficient under pressure.
  • Experience with management and collaboration tools: Monday, Google Workspace, Dext, Harvest, HubSpot.
  • Strong understanding of on-site challenges specific to outdoor and multi-site events.
  • International experience.
  • Strong attention to detail combined with a big-picture mindset.
  • Ability to anticipate needs before they become issues.
